Sylvan Lake Sailing Club

Annual General Meeting

Oct 28, 2006-10-28

Introduction:

Fred Carstensen thank everyone on the executive. Great summer lots of good races. Challenges for future – new facilities, mooring buoy idea, get whole membership going ahead together with problem of finding a place to park our boats. Top of the priority list when the marina decides to pull the pin. Quality and strength are there in this membership. Thank everyone for the opportunity to serve. Fair winds.

Call to order

Motion to approve January 2006 Specil

Jim Barclay moved. Seconded by Don Jenkins.

Move to accept Oct 22, 2005 AGM minutes.

Don Jenkins George Vanderham

Treasurers report - thank you to Doug Stewart for projector.

Demo’d Quick Books

Fixed expenses per member is $50.00 assumes all events on a break event plus sponsorship; anything goes wrong we would lose money.

Income and spending comparison

Transactions by category

Committee Boat – loss of $1300 approx.

Hummer lost $348.22

Socials for pursuits and Wednesday nights - $111 loss.

Racing made $222.88

Donations and sponsorship: $2330.00

Payee report – shows account by “payee” did Jim Barclay and ask if he has paid his race dues.

Suggest that Treasurer has a “treasurer’s assistant” that takes the treasurer’s position.

Boat owner membership vs crew membership: 2.5 paid crew per racing boat – have we collected memberships off all crew or not: this would increase club membership

Motion to adopt report as presented: Tom Chapman moved, seconded by Don Ulsifer.

Harbour Master – Tom Chapman

Rental went up $810 this year; next year $840 per slip.

2010 lease expires right of first refusal at the end of five years if anything available at the end of five years. No option to fully renew.

Club house usage was changed as well.

Cost to replace lost key was increased to $200.

34 keys issued for the club.

Dec 1 for slip

Proof of liability insurance

Membership form

Post marked Dec. 1, 2006

Questions: no plans for dredging; Tom will followup. Additional floatation has started.

Can’t reduce the number of spots from 30 until lease is done. Are we obliged to take the full 30 spots – but Tom thinks that Marina Bay would take them if we left them. No additional slips beyond the 30 even though there were some slips were no being used.

Homeowners have been discouraged from subleasing their slips; use them or leave them vacant.

Committee Reports

Sailing Committee

Jim King: new committee boat; new start system; worked out well.

Commodore cup regatta; fall series on Saturdays only sailed two Saturdays of the four.

Everything went well.

One day regatta was well liked.

Questions: If you are going to set up Saturday but plan on more than one race.

Membership & Communication

Al Fisher took a very long getting to mike; slammed Jim. Technically membership is down 25% from last year due to technicality plus sur-charge doesn’t help. Invoiced sent out by Dec. 1 would be helpful. Keep track accurately and properly. Use the mail box.

Questions: If you have not paid part or all of this year’s membership, the invoice will reflect this. Pay it and we’ll bless you. Issue separate cheques and mark things clearly so we know the payment and corresponding item.

Website – website only – like four – six volunteers and talk about what we want on the website to improve it: more informative: Dennis Ethier; George Vanderham; Gord Emery; Tom Chapman; Linda Boyd. Rod Webb complimented Al on the communication being very informative. If you want something in the newsletter just let Al know.

Question: Membership due Dec. 1; slip fee post date to April 1st. Race fees, etc. down load forms from internet for applicant looking renewal of a slip with membership fee. Cheque for membership should be included for your application for a slip.

CYA membership cards, if you want to go away, you’ll want one of these cards. Come see Al if you want one.

Social Committee

Rod Webb – 10 – 12 social functions; good quality and variety of Panago. Summer Hummer thanks to everyone; most ambitious event socially. Kathy Martin and crew, steven and rita, denis and ethier, don and joyce, rick tracy and chris, dick jewel,

Judges Committee

Jim Barclay for Graham Strathdee: fair sailing – no protests.

Barry Tee for Graham – coaching and training committee: Graham, Barry and Joe Straka – cooperated for North U seminars March 4 and 5th $260 for surplus plus $500 grant from ASRPWF and SLSC did’t have to subsidize $755.70. CD’s and manual still available for sail. GPS course from Calgary. Graham is on coaching for keelboat with CYA. Ladies team went to Montana for Montana Cup; Mike Seth lent boat. Dinghies … Town of SL about importance of SL for dinghy sailing program although no programs were held.

PHRF Committee

Don Ulsifer: not overly active – Barry, Al and Bernie. Met a couple of times to assign rating for new boats; and some rating for modified boats from across the province. Don welcoming “coo’s” to take over his role. Rating adjustments: for pursuits, we are on the last mile together. Other challenge: how to rate modified boats like hull, require some adjustments; modified sail configuration; acquiring continued data on this information. In the future, publish a table so that everyone can see what a rating adjustment would be if they made a modification. Would like to produce a table as other clubs have done this so that we could borrow information. Also a structured system for appealing a rating – currently tell people to live with it.

We don’t currently report to the US PHRF which we could do or we could join a larger body – BC, Montana, for example.

Could consider forming an Alberta PHRF body – SL could lead this but had a distinct lack of interest in doing this. Welcome new people.

Solstice Regatta

Don Jenkins - very successful; captured by high winds, no breakage of equipment, a challenge to many competitors, prizes now properly labeled. Would like to present them now: Division 2 – 1st – Gemini. 2nd – Kathy Martin ,

Division 1 – 1st – Grayling, 2nd place – Barbarian.

Division 2 – Gemini for the year;

Division 1 - Grayling for the year.

Don Jenkins would volunteer again next year.

End of Summer Hummer

Jim King: real good event; good winds, 29 boats 15 div. 1, 6 in div 2, and 8 in div 3. Organizing committee already had people on place: Chris - promotions, Bryan – race , Rod - social, Al – race notice, Rick – registration. Brian Saby did photos.

Dinghy Division:

Joan – nothing to report.

Promotions committee:

Rita – nothing to report.

Chris Watson: Thank Marg and Rita for promotions – limited this year in sales; looking for fresh ideas for next year. Mount Gay rum banners still missing. $1,500 Mount Gay sponsorship: $1,000 cheque plus $500 in product (hats, shirts, etc.) Can’t sell the rum, need to give it away as it kills revenue from the Friday night – by accepting sponsorship we can’t charge for bar thereby reducing our income. Can’t see the mix. Cash bar on Friday and give it away on a different day – a suggestion. Chris surveyed if we should continue sponsorship – yes.

Chris Watson: ice breaker trophy – can the guys from Grayling find them?

Hoping that others will get involved next year.

Business

Membership fees and structure

Al Fisher moved , seconded by Chris Watson to increase membership fees to $100 from $50 per year per person as per standing membership definitions.

Discussion: down 25% on membership, why? We’ll be able to get that back - Al. Maybe we need to hear from non-boat owners: they could go golfing rather than sail.

Motion is carried.

Business from the floor

New member is assigned a volunteer from volunteer committee or social committee and they will tell you procedures of race, or socials, etc. A buddy for a new member.

Alberta Cup at Ghost Lake racing capabilities have dropped; propose to integrate Alberta Cup into Solstice venue. Alberta Cup used to be a cumulative race event – Don suggests incorporating Alberta Cup into Solstice: suggest having club look into the honoring the Alberta cup and consider it for next year’s executive.

Saturday barbeque after the Hummer – where do we hold the social; Gord suggested it upstairs here. Fred talked about history around having it upstairs here. Could consider another venue – will be decided by social committee of the Hummer.

Discussion re future Marina Locations

Long term site for the clubL comments on thoughts on where to go. Don Ulsifer – move this to the top of the agenda; lease is out on 2010 – not long for club to exist if we don’t find a home. Or mooring buoys only. Don Jenkins – do we have a structure to examine this at this time? Yes, says Fred, we did the mooring buoys but had no teeth. Needs new structuring; Don suggest winter project for submission to the spring meeting. Incoming executive will need to set up the committee. Any volunteers here to serve on this committee. Steven Johnson, Rick Howard, Tom Chapman. Future plans, thoughts or contacts are welcome to executive.

Is our lack of young sailors hurting us? Planning our future we need to consider this. Marg was involved in Ab. Summer Games raised a ton of cash. Dinghy course offered – learn to sail, comments?
